Cycle Changes

Cycle Changes are the transactions entered into the payroll for a pay cycle via pre-defined and user-defined codes for time sheets, earnings,allowances, deductions, other income, to indicating a change from the previous cycle for an employee such as making an employee inactive, changing pay method, bank account etc.

The data entry screen into which these transactions are entered is also referred to as the Cycle Changes table. Payroll users can view/enter/edit/delete the Cycle Change transactions here.

Via this option you can also approve, run, reverse and archive the payroll.

Two (2) versions of the data entry screen are available as follows:

  1. Assisted Individual Entries – drop-down look-ups are available for the Item and the Employee fields.
  2. Unassisted Individual Entries – no drop-down look-ups are available for the Item and the Employee fields.The Item Description and Employee Name are filled in after you type in the Item Id and Badge Number respectively. If you are unsure of the Item Id or the Employee, you have the option to search by clicking on the magnifying glasses in the Item Id and Badge Number areas.

The two (2) versions of the above data entry screens are available for both the Cycle Changes Single Company and Cycle Changes Multi-Company options.

Search for the Pay Group, Pay Year and Pay Cycle

Select the Cycle number and click search.

The Cycle Changes screen for the particular Cycle chosen appears. This is what the screen looks like if there are no records within the Cycle.

The Status of the selected Pay Cycle will be displayed and is self explanatory. The Status options change based on the different transactions entered within the Cycle Changes table. The options are:

  1. No Cycle Change records exist for this cycle. Click "New Record" to add Changes.
  2. Payroll scheduled to Import HR Data
  3. Payroll Scheduled to Delete Imported HR Data
  4. The Cycle is uncommitted but cannot be run yet. It needs supervisor approval
  5. This Cycle is uncommitted. Click Run Payroll
  6. Payroll scheduled to Run
  7. The Cycle has been run and committed. You may reverse it by clicking the ‘Reverse Payroll’ button
  8. Payroll scheduled to Reverse
  9. The next Cycle has been run already. This cycle is not reversible
  10. Payroll scheduled to Archive

Cycle Change Buttons

The following buttons are displayed on the screen:

  • Approve Payroll: Only users with Payroll Supervisor Access can approve a Payroll (Security>> User Administration). Prior to approving the Payroll, it is always a good idea to check the accuracy of the work using the Pay Cycle Changes Report (Reports>> Payroll Reports>> Register Reports>> Pay Cycle Changes).
  • Withdraw Approval: Once a Payroll is approved, a Withdraw Approval button appears and can be used by the Payroll Supervisor if necessary.
  • Run Payroll: You can only run a Payroll for a Cycle that is not yet Run or Committed. A verification message will be displayed to ensure that you wish to run the payroll.
  • Reverse Payroll: Once this button is clicked, a verification window will pop-up to ensure that this is what you wish to do. Depending on the number of persons in the payroll, this can take between two minutes to up to one hour. When the reversal process is complete, the cycle changes will be displayed and you will be able to make changes.
  • Archive Payroll: A Payroll must be archived before the next cycle can be run. The archive file can be used to view Year-to-Date earnings, employee pay profiles etc.
  • Import HR Data: If using other modules in the application in which payroll data is stored, you can click this button to import the data into the cycle changes. A message will be displayed once the import is completed. (Note, this feature is to be used to import job allowances into the cycle changes.)
  • Delete Imported Data: You can delete imported data once the payroll is not yet approved/scheduled to run.

Cycle Changes Pay group Data

  • For ease of reference the Pay Group code as well as the Pay Year and Cycle Number selected are displayed here.
  • Additionally, the Start and End Dates of the Cycle are displayed.

Cycle Changes Assisted and Unassisted Entries

  • Here, the functions are the same, the difference being that the Assisted Screen allows for Drop-box look ups where by the Unassisted allows for searches.
  • If Payroll Users are familiar with the codes that they have setup as well as the Badge/Employee IDs, they may be more comfortable using the Unassisted Entries Tab as they can simply enter codes, using the Tab button to navigate through the screen.
