A Guide to Using the Manager Self-Service Module

Pre-Requisites

Before using the MSS module:

  • Ensure that you are a manager/supervisor/team leader. You must have the appropriate role to access the functions and information related to managing your direct reports.
  • Confirm that you have access to the MSS module. You need the necessary permissions to use the functionalities provided within this module. Please reach out to your organization's HRplus Administrator for assistance.
  • Verify that your organization has completed the necessary setup and implementation within the system. Access to the Manager Self Service (MSS) sub-modules is based on the modules your organization has implemented and is actively using as part of its HRplus license. If you notice missing data or wish to use specific features, please ensure that the relevant module has been purchased. For further assistance, consult your HRIS administrator or contact our support desk. 
    • Additionally, verify that your organization has completed all necessary setup and configuration within the system. This includes areas such as goal settings within the Goal module, job profiles within the Personnel module, performance criteria, event types, HR administrators, and reporting structures. Proper configuration of these elements is crucial for the smooth and effective functioning of the module.

Roles

HR User/HR Admin: Responsible for configuring system settings, initiating events, managing goal and appraisal processes, and providing support to managers and employees. Specific employees are also flagged in the system to receive notifications for certain tasks such as new staff requests from managers.

Manager/Supervisor/Team Leader: Uses the Manager Self Service module to view leave charts, approve leave requests, conduct performance appraisals, perform employee skills gap analysis, request training for employees, set goals, track progress, and provide feedback. They can also initiate staff requests.

Employee: Receives and acknowledges goals, submits progress reports, participates in performance appraisals and self-appraisals, and receives feedback from their manager and peers. They can also view their own information and request leave through the Employee Self Service module.

  • Manage HR-related events like Goal Setting, including creating, editing, deleting, and viewing events for employees.

  • Create and assign SMART goals (Specific, Measurable, Achievable, Relevant, Time-bound) for direct reports, aligning them with company, department, and job-specific objectives.
  • Monitor goal progress, provide feedback and coaching, and document progress reports.
  • Leverage features like adjustable targets, goal costs, and task linking for comprehensive goal management.
  • "The manager and employee should engage in continuous discussion re the completion of goals with the employee providing progress reports and the manager providing coaching and feedback. This is documented via Employee Goals in respect of the specific goal. At the end of the appraisal period, the appraisal review can then be done."

  • Utilize various rating scales and weighting systems to evaluate performance.
  • Generate appraisal reports and documentation for employee records.
