A Guide to Using the Employee Self Service Module

The HRplus Employee Self-Service portal empowers employees by providing a centralized platform to manage personal information, benefits, performance reviews, recruitment activities, and onboarding/offboarding tasks. 

This guide summarizes the main themes and key features of the Employee Self-Service Module, focusing on its functionalities and user experience. 

Introduction and Key Concepts

  • Access: The Employee Self-Service (ESS) portal is accessed via a URL provided by your company's HRplus System Administrator.

  • Login Options: Users can log in using Single Sign On (SSO) for a seamless experience or their Username and Password. Two-factor authentication requiring an email-based PIN is available for enhanced security.

  • Icon Overview: Icons on the top right corner provide access to user ID, notifications, logout, password change, help resources ("Ask-How-To"), and a virtual clock for time and attendance.

My Profile

  • Overview: This section allows employees to view and update their personal and professional information. Fields with white backgrounds are editable by the employee, while grey fields require HR intervention.

  • Sections: Employees can update their Competencies, Certificates, Dependents, Education, Emergency Data, Identification Data, Travel Documents, Language Proficiency, License data, and Police History.

  • Approval Process: All employee-initiated changes are subject to HR approval and are held under "Unapproved Changes" until reviewed.

My Benefits

  • Leave Management: Employees can view their leave entitlement for both cumulative and non-cumulative leave types. They can apply for leave, track the status of their requests, and view their leave history for any given year.

  • Benefits Management: Employees can access and review their benefits information online, including details about their plans, coverage summaries, and pertinent documents. Employees can also view and request to add beneficiaries to their respetive plans. 

  • Health Plan Claims: Employees can submit and track Health Plan claims, entering claimant and claim details. Refund information can be added once processed, and the claim status can be updated to "SETTLED."

  • Company Asset Requests: Employees can request company assets through the portal, choosing from "Available Pool Assets" or "Available Job Asset Items." The system allows for tracking request status, managing collected and returned assets, and reporting lost items. Notifications keep employees informed at each stage.

My Performance

  • Appraisals: Employees can conduct self-appraisals, providing ratings and comments within designated fields. While unable to modify manager or HR input, automatic saving ensures ease of use. Archived appraisals are accessible for historical performance reviews.

  • Goals: Employees can view assigned goals, communicate progress through progress reports, and track their achievements. The platform provides visual aids like heat maps, bar charts, and progress graphs for easy understanding.

  • 360 Feedback: Employees can participate in 360-degree feedback, both reviewing their own performance and providing feedback on others as assigned. The system allows for self-reviews and reviews of peers, project teams, and managers.

My Recruitment

  • Job Openings: Internal applicants can view available job openings, access detailed information like job descriptions, responsibilities, competencies, and qualifications, upload their resumes, and apply directly through the portal.

  • Recruitment Tasks: Employees assigned recruitment tasks receive notifications and can view, manage, and update the status of these tasks within the portal.

  • Interview Schedule: Panel members can conveniently access their interview schedules through the "My Calendar" feature, receiving notifications and viewing applicant information. They can also complete interview assessments from the "My Interviews" feature, rating applicants 

My Onboarding and Offboarding

  • Onboarding: New employees can utilize the ESS platform to complete onboarding tasks, including entering personal information, uploading documents, digitally signing company policies, and accessing onboarding materials.

  • Offboarding: The platform streamlines the offboarding process, allowing employees to view assigned tasks, upload documents, complete exit interview forms, and track the progress of their offboarding checklist.
